The Team Capacity tracking tool is used to plan project team member’s time
commitment to a project and track whether that commitment is being achieved.
Projects are scoped and a time line prepared based on these assumptions.
Actual participation must be tracked on a regular basis and any short falls
highlighted for immediate action. Without this team members tend to get pulled
in different directions and the project suffers. The last thing you want have
happen is to reach the “end” of the project, be 75% complete and not have taken
any corrective action along the path.
How To Use
1. From the Project Management tab of the Project Panel, click the "Team
Capacity" button to open the tool.
2. Select the yellow Capacity tab.
3. Enter the name of each team member across the columns (replace Person 1
through 6). If additional team members are needed, click the "Add Person"
button.
4. Enter the "Week Ending" date for each week of the project.
5. At the end of each week, enter the "Planned Hours" and "Actual Hours" for
each team member.
6. The Capacity % will be automatically calculated based on the hours entered.
The Capacity % cells will be shaded Green if team capacity is 95% or
greater, yellow if team capacity is between 90% and 95%, and Red if less
than 90%.
7. The cumulative team capacity will be displayed in the lower right corner of the
tool.
8. Click the E-mail button to email a copy of the capacity report. (Workstation
must be configured to send email.)
9. Click the Print button to print a copy of the capacity report.
